Job Description
We are seeking a proactive and detail-oriented Executive Assistant to support the Leadership Team and Digital Hub Lead in managing day-to-day administrative tasks. The role involves coordination across travel, events, procurement, systems, and general team support.
Key Responsibilities:
Phase I Scope:
- Travel Management:
- Research and coordinate travel options: flights, trains, taxis, etc.
- Book taxis/cars and hotels; manage cancellations and refunds
- Prepare travel documentation (e.g., visas, itineraries)
- Events & Team Support:
- Assist in organizing virtual meetings and small team events
- Research venues, restaurants, and team-building ideas
- Support office space coordination and logistics
- Procurement Support:
- Place and track well-detailed orders on behalf of managers.
- Follow up on order status and provide updates
- Assist in sourcing products and services as needed
- System & Vendor Coordination:
- Investigate invoice discrepancies
- Coordinate with vendors, hotels, and service providers
- Track, manage, and follow up on invoices
- General Administrative Support:
- Conduct IT support research when needed
- Plan and coordinate team celebrations, gift ideas, and other internal initiatives
Phase II Scope (To be added later):
- Manage complex travel bookings for managers
- Provide on-site support for meetings and events
- Handle non-standard procurement requests
- Prepare specialized reports using systems like Concur
- Create and update presentations (PPT), Excel tables, and documents
- Provide general admin support for agendas, mobility plans, and unique team needs
- Contribute to internal content such as event materials, posters, or graphics
