Job Description

Partnerships and Business Development support – 40%  

  • Coordinate MD’s outreach activities in collaboration with business development and Vital leadership  
  • Work closely and effectively with the office of the MD to prepare for external meetings including synthesizing information to create professional presentations, briefs, reports and other material for internal and external consumption  
  • Support the MD with meetings, follow-ups with potential partners, and others as needed for  growth of Vital India
  • Maintains and organizes database of stakeholders (research houses, clients, vendors, prospective,  associations, etc.,)
  • Assist in background research for writing thought leadership articles, concept notes and  presentations
  • Works with the MD in establishing liaison with Industry bodies
  • Coordinate special projects as directed by the MD, including those of a sensitive and/or  confidential nature
  • Administration, Communication and Board of Directors/Advisors support – 40 %   Works closely and effectively with the MD to organize meetings with internal and external teams,  keep MD informed of upcoming commitments and responsibilities; as well as coordinate  schedules that manages MD time
  • Prepares documents and contracts for signature; supports MD with drafting contracts
  • Provides excellent customer service and timely responses to external stakeholders and internal  staff, representing the organization and Managing Director in a courteous and professional  manner
  • Meeting organization and follow-up prepares agendas, minutes, and resolutions, ensures  necessary equipment/material is available. Identify action items from meetings and events for  follow-up and track their progress and completion
  • Knowledge management: maintain up-to-date documents in and in the library folder,  keeps MD’s bio, profile, press release and other documents ready for internal and external usage   Organizes travel, itineraries and supporting documentation for the MD
  • Serves as liaison to board members and for board meetings
  • Assists with board members travel arrangements and lodging, and meal planning as and when  needed
  • Maintains discretion and confidentiality in relationships with all board members   Follow compliance requirements set in bylaws regarding board and board committee matters,  including pre-meeting agenda and document distribution, meeting minutes, and other follow up  as required.
  • Assist the Managing Director with presentations and written communications and prepare  presentations and briefing materials
  • Coordinates internal and external events with different teams and provides necessary support as  and when needed   Project support – 20%
  • Maintain and monitor project repository, plans and project schedules; document and monitor  actions and decisions; organize status meetings; work with team leads to keep things on track  utilizing a project management tool
  • Coordinate Vital India annual planning processes and track progress quarterly, including develop  planning meeting agendas in coordination with the team leads and create and track progress  against deadlines
  • Other tasks as assigned


Bachelor’s degree in Economics, Commerce, Management or Humanities or any other  related field.

Skills, Knowledge, Experience  

 Minimum 2-3 years of work experience including providing support to senior leadership   Ability to research, manage, collate, and disseminate data and information.   Ability to take notes at meetings, synthesize information and create clear summaries   Candidate must be trustworthy, maintain confidentiality,  

  • Demonstrated ability to successfully navigate and work in fluid, dynamic and evolving  environment  
  • Excellent interpersonal skills to build strong relationships with colleagues 
  • Effective communication skills including speaking, writing, and active listening
  • Exceptional organizational skills and ability to take initiative, prioritize, and follow through  on tasks  
  • Strong sense of responsiveness to internal and external requests and the ability to work with  diverse groups and stakeholders  
  • Self-starter who enjoys proposing innovative solutions to identified challenges or gaps
  • Proficiency in Microsoft Word, Excel, and PowerPoint, Adobe Acrobat 
  • Excellent presentation and marketing skills 
  • Good time management, prioritization, and multitasking
